Treat that as a documented example, not a universal rule: preserve the method and payable amount shown for each live route.

A HooBuy volumetric weight cost worksheet should explain how parcel mass, outer volume and a route's charging method affect a displayed shipping amount. It should not manufacture a quote from one generic formula. The useful output is a set of dated, reproducible scenarios that show which input controls the cost decision and how sensitive that decision is to uncertainty.

This worksheet isolates the weight basis inside a scenario so logistics planners can test whether better packed data, packaging changes or another live route comparison is worth pursuing.

Never put an unlabeled zero in a missing dimension field. Zero means a known measurement; blank means unknown. Distinguish stored-item weight from packed parcel weight. The worksheet should reject a scenario if weight and dimensions describe different manifests.

Model the public example without universalizing it

The current HooBuy estimator states that for most air cargo, volumetric weight in kilograms is length × width × height in centimetres divided by 6,000. Enter that rule in a row named “public air-cargo example,” with the check date and source. Do not label it “all HooBuy routes.”

Let parcel dimensions be L, W and H centimetres. The example gives V = L × W × H ÷ 6,000. Let A be actual weight in kilograms. A planning comparison can show the larger of A and V, but name it “screening comparison,” not final billable weight, unless the selected route confirms that method.

Worksheet rule: formula output is a derived planning field. The live route's displayed charging basis and amount remain observed transaction fields. Never replace an observation with your formula.

Keep three versions of each numeric input

Assumed

Used before warehouse or packed data exists. Record the reason for the assumption and a high-low range. An assumed dimension is not a measurement.

Observed

Copied from a current HooBuy item, parcel or route record. Preserve the unit, timestamp and record reference. Observation quality depends on matching the same manifest.

Derived

Calculated from named observed or assumed fields. Formula cells should never accept manually typed results. Record rounding separately because a route may apply increments not represented by a raw value.

This three-state design reveals false precision. A result with six decimal places is not accurate when one carton dimension is only a guess.

Calculate volume pressure as a diagnostic

For a scenario using a documented comparison rule, define the volume difference in kilograms as max(0, V − A). Define the volume ratio as V ÷ A when A is greater than zero. These fields show how strongly parcel shape may influence a result; they do not convert kilograms directly into money.

Cost requires a live route amount. If route one displays P1 for the parcel and an updated comparable scenario displays P2, the observed difference is P2 − P1. Do not multiply a weight difference by an invented per-kilogram rate unless the live option exposes the complete rate structure and increments.

Run one-variable sensitivity tests

Uncertain inputs should be tested one at a time. Keep destination, manifest, weight and route constant while changing only one dimension assumption. Then keep packed inputs constant while comparing only currently eligible routes. Changing everything at once produces a result but no explanation.

A sensitivity test ends with a trigger, not a prediction. Example: “If packed height exceeds threshold h, refresh the eligible route set before payment.” The threshold can remain symbolic until live numbers exist.

Build a route-specific cost block

  1. Copy the complete route name and date.
  2. Confirm destination and goods-category eligibility.
  3. Record actual weight and outer dimensions used by that scenario.
  4. Copy the route's own charging explanation where shown.
  5. Record raw derived volume output separately.
  6. Record the displayed shipping amount and currency.
  7. List selected services outside base shipping where shown separately.
  8. Label any unexplained difference “unclassified,” not “hidden fee.”

Repeat the block for each eligible option. Do not copy a formula from the first row into another route unless the interface shows that the same rule applies.

Worked symbolic cost model

Scenario A contains approved items m1 through m4, actual weight A and packed dimensions L × W × H. The public example produces V. Current route r1 displays amount P1 and its own charging terms. Route r2 displays P2 under a different condition.

The worksheet first checks that both routes use the same parcel record. It does not assume P1/A is a reusable kilogram rate. If one safe packaging change produces dimensions L2 × W2 × H2, create Scenario B and obtain live amounts P1b and P2b. The observed cost effect is the difference between comparable route rows, not the change in derived weight alone.

Allocate costs only after the route amount exists

For personal landed-cost planning, you may allocate an observed parcel amount across items by actual weight, volume share, value or another documented rule. That allocation is internal accounting; it is not how HooBuy necessarily priced the parcel. Name the method and ensure allocated amounts sum to the observed total.

Do not allocate a dimension-driven cost entirely to the bulkiest item without defining the counterfactual. The carton, shared empty space and protection choices can contribute. A separate scenario with that item removed provides better evidence than intuition.

Set validation controls

Common cost-model failures

Frequent errors include applying /6,000 to every route, converting a volume difference directly to money, using product dimensions as carton dimensions, mixing grams and kilograms, and treating an unavailable route as a zero-cost option. Another subtle error is comparing a general estimate with a packed payable amount while claiming the difference came only from volumetric weight.

The complete change may also involve category, route, packaging, selected services, rounding or timing. Where the record cannot isolate the cause, keep it unclassified. An honest residual is better accounting than a fictional fee explanation.
